The tour

From an empty month to a payroll file.

A shift you plan is the shift the team sees and the hours you pay.

Build it

Build a month, or reuse a week.

A month's schedule moves from under setup to taking requests to released. Reuse a week as a template, and staff set their own availability.

The staff app

Staff see their shifts on their phone.

Staff see their shifts, the months open for requests and their running hours. They can also subscribe the schedule into Apple Calendar, Google or Outlook.

Staff request swaps, managers approve.

A bartender can give a shift away and anyone free can ask for it. The manager approves or declines, and approval moves the shift.

Clock-in

Clock in only at the venue.

With the geofence on, the app checks the phone is at the venue before clock-in, with slack for GPS. The location is then discarded.

Hours to pay

Hours per person, then out to Danløn.

Owners get hours per person over any range: scheduled, adjusted and the difference. The Danløn export turns those into an import file matched by employee number.

Questions

The things people ask.

Does clocking in decide what staff get paid?

No. The Danløn export and the owner's hours per person are both worked out from the published schedule, plus any change to a shift's times that a manager approved. Clock-in is a separate attendance record: it is shown next to the scheduled hours so you can spot where the two differ, but it does not feed the payroll export. If you want a clocked hour to be paid, adjust the shift and approve it.

What does the geofence do with a staff member's location?

It measures the distance from the phone to the venue and uses that to allow or block the clock-in, with a small allowance so someone standing at the door is not rejected by GPS jitter. The coordinate is used for that one check and then thrown away. It is never written to the database, so BarOS holds no history of where anyone has been.

Can staff swap shifts on their own?

They can give a shift away and ask to pick up one that is going, but a swap only completes once a manager approves the request. Until then the shift stays with whoever holds it. You always see who gave a shift away and who took it.

How do staff see their schedule?

They sign in to the staff portal on any phone or browser and see the shifts assigned to them, plus the months open for requests. They can also subscribe the schedule into Apple Calendar, Google Calendar or Outlook, so a change to the schedule appears in their own calendar.

What exactly is the Danløn export?

A semicolon-separated CSV that Danløn imports, with each line matched to a staff member by their employee number. Hours come from shifts in released schedules over the range you pick, using the adjusted times where a change was approved and wrapping shifts that run past midnight. Anyone missing an employee number or an hourly wage is listed as skipped rather than exported with a wrong figure.
